Virtual TimeClock Pro

Virtual TimeClock Pro is powerful, yet easy to use, employee time clock software that enables businesses of any size to effortlessly track employee time and attendance. Our timesheet software is a cost effective and secure replacement for mechanical employee time clocks and paper employee timesheets.

The following sections provide a brief overview of the five main windows in Virtual TimeClock Pro:

1. TimeClock

The TimeClock is the main window from which all other Virtual TimeClock Pro actions occur. The TimeClock's primary function is similar to that of a traditional employee time clock: to provide an easy, accountable way for workers to record when they start work, stop work, or change task. Because it's software based, employee timesheets are always instantly available with up-to-the-minute hours and overtime totals.

To clock in or out, workers select their name from the time clock list and press the Start Work, Stop Work, or Change Task button. Depending on the TimeClock preferences that you've set, when clocking in the worker can select a task and be prompted to enter their password before recording new timesheet entries.

Control labor costs real time with instant, accurate knowledge of each worker’s status, start and stop times. Unlike a traditional employee time clock, Virtual TimeClock Pro can automatically assign hours worked to a department and task or job.

When workers clock out, a memo can be selected indicating the status of the worker. Perhaps the worker is 'out to lunch' or 'gone for the day.' Workers can even create a special one time memo like 'Doctor appt. Back by 2PM'!

Display all workers to create a virtual 'In & Out' board, with at-a-glance status of every worker. The TimeClock window is much more than a simple time and attendance software program!

When you install Virtual TimeClock software on your network, each time clock can be individually set to display the status and print timesheets for a single worker, a department, or a custom selection of workers. A popular configuration is for each employee to only see their name displayed on their computer workstation while a manager's time clock displays all workers or only those within the manager's department.

Convenient password protection allows employees, managers and owners secure access to the appropriate time clock features and ensure proper access to employee timesheet viewing and printing.

2. Entry Editor

The Entry Editor is a simple, yet powerful management tool that makes it easy to manually add or edit employee time sheet entries on the fly. Add a new entry, modify a start, stop time or task in just a few simple steps.

Create new manual entries for jury duty, off-site education, or travel time. The Entry Editor also provides a powerful way to easily record vacation, holiday, personal and sick leave entries for one or all workers.

3. Timecard Report Writer

Virtual TimeClock Pro comes with a number of default, ready to use reports that allow you to quickly print employee timesheets and employee timecard reports sorted by worker, department or task for any specified date range.

In addition, you can easily print summary timesheets and timecard reports for management, accounting or payroll entry.

When you're ready to create or customize an employee timesheet or timecard report, the Timecard Report Writer provides an easy to use interface for selecting fonts, margins, and report options. Report options can be set to summarize data, include signature lines, wages, and daily, weekly or group totals.

Duplicating and modifying existing reports or creating new reports from scratch allows for a near infinite number of reports to choose from within Virtual TimeClock Pro.

Employee, task, or departmental detail and summary data can also be exported to CheckMark Payroll, or a text file for analysis or further formatting with your favorite spreadsheet or word processing program.

4. Messaging

Messaging within Virtual TimeClock functions like a simple, self-contained email software system. Messaging can be used by workers as a convenient tool to notify management of a missed clock in or requested day off. Management can communicate directly with workers or broadcast notices of meetings or other company information.

A small envelope icon with the number of unread messages is displayed next to the worker's name in the TimeClock when new mail is waiting for them. Opening the Mailbox window provides a worker with a list of received messages. Workers can create and send new messages as well as read, print, reply-to, forward and delete received messages.

5. Administration

The Administration control panel window and corresponding Administration menu provide easy access to the topical administrative control panels. The Administration control panels provide an intuitive means to configure and control just about every global setting in the Virtual TimeClock Pro time and attendance software.

The Administration control panel window is opened by selecting a control panel category listed in the Administration menu or by selecting the Administration toolbar button on the main TimeClock window

Once opened, the Administration control panel window contains a list of administration categories on the left. Selecting a new category from the category list or the Administration menu opens the selected category pane in the right portion of the control panel window.
